- Responsibilities
- On-Boarding Management
- ·Assist the Talent Acquisition team in creating bilingual employee contracts and NDAs.
- ·Monitoring and filing of Pre-Employment requirements and updating of new joiner’s master list.
- ·Assist in updating MARHS and SAP ID creation.
- ·Issuance of Laptops for onsite employees and sending Laptops for remote employees.
- ·Welcome Kit monitoring and distribution to new joiners.
- ·Sending onboarding emails and scheduling onboarding meetings.
- ·Registering and updating employees’ BPJS.
- ·On-boarding of all new joiners (Indonesia-based).
- ·Enroll new joiners in private insurance (health and accident-life insurance) after passing probation.
- ·Courier of employees’ card/s (Health Insurance).
- Off-Boarding Management
- ·Ensure notification of Private Insurance and BPJS deletion of accounts of separated employees.
- ·Processing and issuance of Exit Clearance.
- ·Issuance of Certificate of Employment (COE).
- ·Receive all company equipment (laptops, insurance card, parking card) on the last day.
- Attendance/Timekeeping/Leave Management
- ·Open authorization in SHIVA for employees with overtime, recuperation, and manual updating of paid leaves.
·Sick leave management:
Record, monitor filing in the internal system, check medical certificates, and approve.
- Admin Tasks
- ·Certify employee salary loans.
- ·Prepare Certificate of Employment (COE) for active and recently resigned employees.
- ·Assist in the preparation and renewal of documents of foreign employees with the legal consultant.
- ·Actively engage with the Surabaya City Manpower Department.
- ·Updating WLKP ( The Mandatory Employment Report) is required before a company can apply to hire Foreign Workers.
- ·Requesting Regional Retribution Assessment Letter (SKRD) before RPTKA payment to Bank.
- ·Enrolment and submission of employee’s Maternity documents.
- ·Answer employees’ inquiries on HR-related processes.
- ·Prepare annual HR Budgeting and Purchase groceries for the office pantry.
- ·Update all HR legal-related information and incorporate changes into the employee handbook.

- Internal Communication/Team Activities
- ·Intranet update of activities and other content as needed.
- ·Send birthday greetings to employees.
- ·Organized activities/events to boost morale and conducted surveys for enhanced employee satisfaction.
- ·Creating CSR initiative.
