Job Overview:
- This position will be responsible for sourcing, negotiating, and managing the procurement of materials required for the hotel project. The ideal candidate must be fluent in Mandarin and have experience dealing with Chinese suppliers and vendors.
Key Responsibilities:
Supplier Sourcing & Relationship Management:
- Identify and evaluate potential Chinese suppliers/vendors for hotel project needs such as construction materials, furniture, fixtures, equipment (FF&E), and operating supplies (OS&E).
- Establish and maintain strong relationships with Chinese vendors, ensuring smooth procurement processes.
Vendor Negotiations:
- Negotiate prices, payment terms, delivery schedules, and contracts with Chinese suppliers to secure favorable terms.
- Manage price comparisons and competitive bidding processes to ensure cost savings and quality assurance.
- Handle communication and contract negotiations in Mandarin to avoid language barriers and ensure clarity.
Purchase Orders & Contracts:
- Prepare and issue accurate purchase orders based on project requirements and budget.
- Review and manage procurement contracts, ensuring compliance with legal requirements and company policies.
- Ensure that all contracts with Chinese suppliers meet international standards and are properly documented.
Quality Assurance & Inspections:
- Ensure all purchased materials meet the required quality standards and project specifications.
- Address any discrepancies or defects in materials promptly, coordinating returns or replacements when necessary.
Compliance & Documentation:
- Ensure compliance with local laws, regulations, and hotel policies regarding procurement and supplier management.
- Maintain detailed records of all procurement activities, including contracts, purchase orders, invoices, and communications with suppliers.
- Work closely with the finance team to ensure timely payments and accurate financial reporting.
Communication & Coordination:
- Serve as the primary liaison between Chinese vendors and the project team, ensuring clear communication and timely resolution of any issues.
- Provide Mandarin-to-English translation support for the project team and management as needed.
Skills & Qualifications:
Education:
Bachelor’s degree in Supply Chain Management, Business Administration, or a related field.
Experience:
2+ years of experience in procurement, preferably in the hospitality or construction industries.
Language Proficiency:
Fluent in Mandarin (written and spoken) to facilitate seamless communication with Chinese vendors.
Skills:
- Strong negotiation skills with experience in dealing with Chinese suppliers.
- Ability to work under pressure and meet tight deadlines.
- Attention to detail and strong organizational skills.

Work Environment:
Office-based.
Schedule:
Full-time, From Monday to Friday.
