Job Description

Responsibilities:

  • Acting as a first point of contact for callers, dealing with emails and phone calls by responding, passing on messages, or highlighting them for the manager.
  • Act as the point of contact between the manager and internal/external clients. Screen and direct phone calls and distribute correspondence
  • Handle requests and queries appropriately—control access to the manager/executive.
  • Manage diary and schedule meetings and appointments. Make travel arrangements
  • Take dictation and minutes. Produce reports, presentations, and briefs.
  • Source office supplies. Devise and maintain office filing system.
  • Reminding the manager/executive of important tasks and deadlines
  • Implementing and maintaining procedures/administrative systems
  • Liaising with staff, suppliers, and clients
  • Collating and filing expenses
  • Perform various other jobs to assist the manager.

Requirements:

  • Minimal 2-year work experience as a personal assistant
  • Bachelor’s degree in Business Administration or a related field
  • Placement in Jakarta Pusat
  • MS Office and English proficiency. It would be preferable to master Mandarin.
  • Knowledge of office management systems and procedures. Up-to-date with the latest office gadgets and applications
  • Outstanding organizational and time management skills
  • Ability to multitask and prioritize daily workload. Excellent verbal and written communication skills
