Job Description

  • We are seeking a proactive and highly organized Personal Assistant to support our Country Manager in daily operations. The ideal candidate must be fluent in Chinese (Mandarin), with exceptional communication skills and experience in executive-level support. This role involves a combination of administrative duties, translation services, and high-level coordination to streamline business processes and facilitate clear communication between the Country Manager and internal/external stakeholders.

Key Responsibilities:

  • Act as liaison between the Country Manager and internal/external stakeholders, ensuring timely and accurate delivery of messages.
  • Facilitate clear and effective communication both English and Chinese between the country manager and other global departments. Translate written and verbal communications as necessary.
  • Track project progress, monitor deadlines, and provide regular updates to the Country Manager.
  • Manage the daily schedule of the Country Manager, including arranging meetings, prepare agendas, travel, take meeting minutes, and ensure follow-ups on key action items.
  • Prepare and edit correspondence, reports, presentations, and other documents as needed in both Chinese and English.
  • Organize and maintain confidential files and records for easy retrieval.
  • Assist in preparing presentations and reports for management reviews and meetings.
  • Provide financial analysis and reporting support as needed.
  • Handle travel arrangements and occasional international travel as required.
  • Support the Country Manager in other duties and undertake ad-hoc assignments as needed.

Requirements:

Necessary Skills & Experience:

Education:

Bachelor’s degree in Business Administration, Management, or a related field.

  • Minimum of 2 years of experience as a Personal Assistant, Executive Assistant, or similar administrative role, preferably within a multi-site or regional business environment.
  • Excellent verbal & written communication skills in Chinese Mandarin, Bahasa Indonesia, and English.
  • Having a minimum HSK certificate level 4 is a PLUS.
  • Female, maximum age 35 years old.
  • Strong organizational and multitasking skills, with the ability to prioritize tasks effectively.
  • High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
  • Experience with project management tools and software.
  • Ability to maintain confidentiality and handle sensitive information.
  • Ability to work independently and collaboratively within a team.
  • Strong problem-solving and analytical thinking abilities.

Prior experience in at least one of the following industries:

financial, forex, cryptocurrency, commodities, or bonds.

  • Residing in Indonesia (Jakarta Area or willing to relocate) and willing to work on-site or at the office.

Preferred Skills & Experience:

  • Experience in the financial industry is a plus.
  • Knowledge of regional business dynamics and market trends.

Additional Information:

  • This role may require occasional international travel.
