Job Summary:
- The Tender Document Staff is responsible for the preparation, coordination, and submission of tender documents in response to client requests. This role involves ensuring all tender documents are compliant, accurate, and submitted on time. The ideal candidate will have excellent organizational skills, attention to detail, and the ability to work under tight deadlines.
Job Responsibilities:
Tender Preparation:
- Monitor and inform all tender announcements via e-PROC, CIVD & ARIBA every day to related sales and GM sales.
- Carry out registration and update data via e-PROC, CIVD & ARIBA.
- Review and analyze tender requirements, terms, and conditions.
- Coordinate with various departments to gather necessary information and documentation.
- Prepare and format tender documents according to client specifications.
Documentation and Compliance:
- Ensure all tender documents are complete, accurate, and comply with legal and client requirements.
- Maintain a database of submitted tenders and track their status.
- Update and manage tender templates and standard documentation.
Coordination and Communication:
- Liaise with clients, suppliers, and internal teams to clarify tender requirements and obtain necessary information.
- Coordinate meetings and follow-up activities related to tender submissions.
- Communicate with clients regarding tender updates and respond to any inquiries.
Submission and Follow-Up:
- Ensure timely submission of tender documents, both electronic and hard copies.
- Follow up on submitted tenders and update the team on their status.
- Assist in the preparation of presentations and reports related to tender activities.
Job Qualifications:
- Bachelor’s degree in Business Administration, Procurement, Supply Chain Management, or a related field.
- Minimum of 1-2 years of experience in tender preparation or a related role.
- Knowing phase of tender/project process (both online e-PROC, CIVD, ARIBA & offline).
- Having experience & able to operate / manage electronic Procurement (ePROC) customers.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Knowledge of tender processes and legal requirements.
- Attention to detail and accuracy in documentation.
- Ability to work under pressure and meet tight deadlines.
- Strong analytical and problem-solving skills.
- Team player with the ability to work independently.
- High level of integrity and professional ethics.
- Strong interpersonal skills and adaptability.
- Have a good personality.
- Domiciled in Cikarang & its surroundings.
