Job Description

  • On behalf of our clients, we are looking for a dedicated and proactive General Affairs professional who is able to speak in Japanese The role is crucial in ensuring the smooth operations of our organization, especially in supporting Japanese expatriates and managing various administrative functions.

Responsibilities:

  • General Service Management
  • Coordinate office supplies, equipment, and services to ensure efficient daily operations.
  • Oversee office housekeeping and maintenance, including managing janitorial staff and coordinating repairs.
  • Manage vendor relationships and procurement processes for office supplies and services.
  • Building Management and Infrastructure
  • Monitor and manage the maintenance of company facilities, ensuring that infrastructure is safe and compliant with local regulations.
  • Coordinate office renovations, space planning, and security system management.
  • Handle building-related contracts (e.g., lease agreements, service provider contracts).
  • Licensing and Public Relations
  • Handle company licensing, permit applications, and renewals to ensure compliance with legal regulations.
  • Act as the liaison with government agencies and local authorities for any company-related requirements.
  • Build and maintain positive relationships with external stakeholders, including local communities and regulatory bodies.
  • Expatriate Support
  • Provide comprehensive support to expatriates, especially Japanese staff, including arranging accommodation, transportation, and assistance with legal paperwork such as visas and work permits.
  • Assist expatriates with settling into the local environment, offering language and cultural support when necessary.
  • Act as the main point of contact for expatriate inquiries and issues related to local living and company policies.
  • Other Duties
  • Handle ad-hoc administrative and general affairs tasks as needed, ensuring smooth overall operations.
  • Support cross-departmental communication and coordination for company-wide initiatives.
  • Participate in company events and internal projects related to organizational improvements.
  • Requirements

Language:

Able to speak in Japanese both written and spoken Must have JLPT N4 Certification or Higher. English proficiency is a plus.

Education:

High School with internship experience in Japan is very welcome or Diploma 3 or higher majoring Japanese Language is preferable

Experience:

Minimum 2-3 years of experience in general affairs, administrative, building management, or Visa Support role

  • Able to join as soon as possible
