Job Description
- The HR & Admin Executive at our Semarang branch (PT. Beacons Pharmaceutical Industries) will play a pivotal role in managing HR functions, including recruitment, employee onboarding, performance management, and employee relations. This position requires a proactive and adaptable individual who can thrive in a dynamic environment and contribute to building a positive workplace culture.
- Key Responsibilities
- Recruitment and Staffing
- Manage the end-to-end recruitment process for the Semarang branch, including job postings, resume screening, and coordinating interviews.
- Collaborate with department heads to understand staffing needs and develop tailored job descriptions.
- Employee Onboarding
- Facilitate a comprehensive onboarding process for new hires, ensuring they are well-integrated into the company culture and operations.
- Prepare onboarding materials and orientation schedules specific to the Semarang branch.
- Performance Management
- Assist in the implementation of performance appraisal processes and track performance review timelines.
- Provide support in gathering performance data and helping managers develop improvement plans.
- Employee Relations
- Serve as a primary point of contact for employee inquiries regarding HR policies, benefits, and procedures.
- Assist in resolving employee concerns and fostering a positive work environment.
- Training and Development
- Identify training needs for the Semarang branch and coordinate training sessions to enhance employee skills.
- Maintain records of training programs and assess their effectiveness.
- HR Administration
- Maintain accurate employee records and ensure compliance with local labor laws and company policies.
- Prepare regular HR reports and metrics for branch management.
- Compliance and Policy Development
- Ensure compliance with local labor regulations and assist in the development of branch-specific HR policies.
- Promote awareness of HR policies and procedures among employees.
- · Payroll Preparation
Manage the entire payroll process, including:
- Manage the entire payroll process, including collecting and verifying employee attendance, leaves, and overtime.
- Calculating gross salaries, deductions (including BPJS and taxes), and net pay for all employees.
- Preparing and maintaining payroll reports for accuracy and compliance.
Payout Cut-Off on 15th of every month:
Prepare & Submit monthly payroll report within the timeline, and given Head office sufficient time to verify and approval.
- · BPJS Management
- Register all employees with BPJS Kesehatan and BPJS Ketenagakerjaan and ensure compliance with regulatory requirements.
- Calculate and remit monthly BPJS contributions (both employee and employer portions).
- Maintain up-to-date records of BPJS registrations and contributions.
- · Tax Management
- Ensure all employees have valid Tax Identification Numbers (NPWP).
- Calculate and remit PPh 21 (income tax) monthly and ensure compliance with the progressive tax rates.
- Prepare and submit annual tax returns (SPT Tahunan) for all employees.
Tax Submission Deadline:
Prepare and submit monthly tax payments before the 10th of each month following the payroll cut-off.
- · Reporting and Compliance
- Prepare and submit monthly payroll reports, BPJS contributions, and tax payments to the head office for approval.
- Maintain thorough records of all payroll transactions, BPJS contributions, and tax payments for auditing purposes.
Disciplinary Procedures:
- Develop and implement disciplinary procedures in line with company policies and local labor laws.
- Conduct investigations into employee misconduct and manage the disciplinary process, including documentation and communication with involved parties.
- Ensure consistency in applying disciplinary actions across the branch.
Standing Order Procedures:
- Establish and communicate standing orders that guide employee behavior and performance expectations.
- Review and update standing orders periodically to ensure relevance and compliance with changing regulations.
- Provide training to staff on standing orders to promote understanding and adherence.
- Qualifications
Education:
Bachelor’s degree in Human Resources, Business Administration, or a related field.
Experience:
Minimum of 5 years of experience in HR, with a proven ability to work independently, preferably in a fast-paced environment.
