Job Description
Responsibilities:
- Acting as a first point of contact for callers, dealing with emails and phone calls by responding, passing on messages, or highlighting them for the manager.
- Act as the point of contact between the manager and internal/external clients. Screen and direct phone calls and distribute correspondence
- Handle requests and queries appropriately—control access to the manager/executive.
- Manage diary and schedule meetings and appointments. Make travel arrangements
- Take dictation and minutes. Produce reports, presentations, and briefs.
- Source office supplies. Devise and maintain office filing system.
- Reminding the manager/executive of important tasks and deadlines
- Implementing and maintaining procedures/administrative systems
- Liaising with staff, suppliers, and clients
- Collating and filing expenses
- Perform various other jobs to assist the manager.
Requirements:
- Minimal 2-year work experience as a personal assistant
- Bachelor’s degree in Business Administration or a related field
- Placement in Jakarta Pusat
- MS Office and English proficiency. It would be preferable to master Mandarin.
- Knowledge of office management systems and procedures. Up-to-date with the latest office gadgets and applications
- Outstanding organizational and time management skills
- Ability to multitask and prioritize daily workload. Excellent verbal and written communication skills
