Responsibilities:
Petty Cash Management:
Handle petty cash funds, including disbursement, recording, and reconciliation. Ensure transactions are documented and funds are used efficiently.
Office Supplies Management:
Oversee the inventory of office supplies, place orders to replenish stock as needed, and ensure the timely distribution of supplies to all departments.
Travel Expenses Report Audit:
Review and verify travel expense reports submitted by employees for accuracy and compliance with company policies. Process reimbursements in a timely manner.
Package Delivery Management:
Coordinate the receipt and dispatch of packages. Ensure accurate tracking and timely delivery of all incoming and outgoing parcels.
Name Card Production:
Manage the design, ordering, and distribution of business cards for employees as per company standards and employee specifications.
Expatriate Permit Extension:
Assist with the administrative processes related to the extension of expatriate work and residence permits, liaising with relevant government bodies and ensuring compliance with local immigration laws.
Vendor Relations:
Maintain relationships with vendors and service providers, ensuring that the organization receives high-quality services and goods at competitive prices.
Administrative Support:
Provide general administrative support including filing, scheduling, and supporting internal events or meetings as required.
Compliance and Documentation:
Ensure all activities comply with legal, regulatory, and company policy requirements. Maintain accurate and organized records for all transactions and processes.
Requirements:
- A Bachelor’s degree from any major
- Min 2 years experience in related field
- Proven experience in an administrative role, preferably with exposure to general affairs and petty cash management.
- Strong organizational and planning skills, with the ability to prioritize tasks effectively.
- Excellent attention to detail and problem-solving skills.
- Good communication and interpersonal skills, with the ability to interact with employees at all levels.
- Proficiency in office software (e.g., MS Office) and familiarity with administrative systems.
- Knowledge of local regulations regarding expatriate permits is highly desirable.
