- Job Overview
- Reporting into the Founder, the Chief Operations Officer will oversee the three largest teams at Bali Children’s Foundation, ensuring the effective management and strategic growth of the organisation’s educational and community programs. This role will involve portfolio ownership, Asana implementation, and leading a data transformation project using HubSpot for donor and student management. Additionally, the COO will be responsible for strategic planning, project planning, and supporting the four team leads. The role will also focus on the growth of BCF’s footprint within Bali and its expansion in East Indonesia. The team will manage the day-to-day work of the team leads, with the COO holding them accountable. They will also serve as the key BCF representative for managing education department cooperation and partnerships.
- Job Description
Team Leadership and Management:
- Supervise the Education, Curriculum Development, Teacher Training, and Data team.
- Oversee the Sponsorships, Community, Youth Outreach, and Fundraising teams.
- Manage the Teacher Training and Professional Development team.
- Provide leadership, guidance, and support to ensure team goals align with organisational objectives.
- Facilitate effective communication and collaboration across teams.
- Hold team leads accountable for the day-to-day management and performance of their teams.
- Team performance annual reviews
Strategic Planning:
- Engage in strategic planning to set long-term goals and objectives for the organisation.
- Support the seven-team leads in developing and executing strategic plans.
- Review and recommend technology usage within the Foundation
- Monitor risk management within the Foundation, including Data security
- Review and recommend upgrades to HR management and recruitment
- Align strategic initiatives with the organisation’s mission and vision
Program Development and Implementation:
- Work with and oversee the heads of these teams, supporting them in implementing the 5-year strategic plan set by the Founder and BCF Board.
- Support the team leads in managing and scheduling teacher training programs.
- Support Team lead in managing BCF Projects by locations and new project development.
- Help design and implement educational technology initiatives.
- Oversee internet connectivity projects for schools in rural areas.
- Monitor and evaluate program effectiveness
Sponsorships and Scholarships:
- Work with and oversee the heads of these teams, supporting them in implementing the Founder’s five-year strategic plan.
- Hold team leads accountable for managing student scholarship applications, coordinating youth outreach, and overseeing both sponsor-funded and BCF-funded student management.
Fundraising and Development:
- Work with and oversee the heads of these teams, supporting them in implementing the Founder’s five-year strategic plan.
- Hold team leads accountable for creating and implementing fundraising strategies, engaging with donors and supporters, organising fundraising events and campaigns, and managing grants and donor relations.
Marketing and Communications:
- Work with and oversee the heads of these teams, supporting them in implementing the Founder’s five-year strategic plan.
- Hold team leads accountable for developing marketing materials and campaigns, managing social media and online presence, communicating program successes and impact to stakeholders, and developing relationships with media and press.
Community Engagement and Outreach:
- Work with and oversee the heads of these teams, supporting them in implementing the Founder’s five-year strategic plan.
- Hold team leads accountable for communicating with sponsored students, managing school upgrades, administering and documenting upgrade and build processes, managing child protection issues and delinquent students, and engaging with local communities and community leadership.
Partnerships and Networking:
- Build and maintain partnerships with local and international organisations.
- Collaborate with government agencies and NGOs.
- Engage with corporate sponsors and educational institutions.
- Attend conferences and networking events.
- Execute MOUs guiding government and non-government relationships.
Monitoring and Evaluation:
- Develop metrics and tools for assessing program impact.
- Conduct regular evaluations and report findings.
- Use data to inform and improve program delivery.
- Ensure transparency and accountability in all operations.
Technology and Infrastructure:
- Identify and procure appropriate educational technology solutions.
- Ensure internet connectivity in remote regions.
- Provide technical support and training for teachers and students.
- Monitor and maintain technological infrastructure.
Key BCF Representative:
- In cooperation with Team leads
- Serve as the key BCF representative for managing school donors and partnerships.
- Manage and schedule school visits for donors.
- Coordinate communications with donors and schools.
- Oversee the pen pal program, including coordination with schools in Indonesia and internationally.
- Oversaw the internship program with key schools and universities in Indonesia and overseas.
Project Management:
- Manage and improve BCF’s Asana instance for project and task management across teams.
- Lead a data transformation project using HubSpot and Xero, for donor and Database Sponsorship student management.
- Ensure efficient data reporting and design materials for communications and program effectiveness assessment. Review meeting schedules and weekly reporting formats.
Growth and Expansion:
- Develop and execute strategies for expanding BCF’s footprint within Bali and nearby islands
- Plan and manage the growth of BCF’s programs in East and West Indonesia.
- Identify opportunities for new program development and community Advocate engagement.
Advocacy and Policy:
- For policy changes to support education and child protection initiatives.
- Engage with policymakers and stakeholders.
- Participate in national and international education forums.
- Promote the importance of education and connectivity.
- Engage with and satisfy requirements for IRS and ACNC in the USA and Australia.
Operationalizing and Creating SOPs:
- Develop and implement standard operating procedures (SOPs) and KPI’s for all teams.
- Establish standard ways of working to ensure consistency and efficiency.
- Train team leads and staff on new SOPs, KPI’s and workflows.
- Monitor adherence to SOPs and KPI’s and continuously improve processes.
- Qualification
- Bachelor’s degree in Education, Management, or a related field (Master’s preferred).
- At least 3 – 5 years of proven experience in a senior management / COO or equivalent level role within a profit or non-profit organization, preferably with a focus on education or social development.
- A genuine passion for education and child development.
- Proven ability to lead and manage diverse teams, fostering a collaborative and supportive environment.
- Excellent project management and organizational skills.
- Proficiency in Asana and HubSpot or similar project management and CRM tools.
- Proficient in English language, both written and spoken and native level Indonesian language proficiency.
- Experienced in conducting fieldwork in Indonesia, with a deep understanding of the diverse cultural nuances across different regions, and a strong ability to navigate and work with complex social and religious landscapes.
- Exceptional communication and interpersonal skills.
- Ability to work collaboratively with diverse stakeholders.
- Strong analytical and problem-solving abilities.
