  • Job Introduction
  • Responsible for the operational delivery of the support infrastructure and media production output to support BBC News. Manage within a framework, a safe, compliant operation, delivery of general and efficient administrative services. Working with editorial colleagues to ensure the effective running of a BBC office, to enable BBC News to grow its global audience.
  • Main Responsibilities
  • Ensure compliance with BBC policies and procedures in the areas of finance, tax, HR, legal, procurement, health & safety and business continuity and relevant local legislation as well as regulations.
  • Ensure adherence to personnel related administration including but not limited to on-boarding, right to work, contracts, benefits including pensions, payroll, off boarding, JML process, personnel file maintenance, data management and accuracy.
  • Identify the areas of non-compliance arising due to non-adherence to the well-defined policies and procedures or changes in the local legislation and regulations; proactively inform the relevant divisional subject matter experts (e.g. HR, Finance, Tax, Health & Safety, IT, etc.) and to senior line management for action.
  • Maintain relationships with vendors, suppliers; ensure adherence to agreed service level agreements (SLA). Ensure administrative assistance to the line managers, News Editor, employees which includes HR processes (i.e. recruitment, induction, holiday booking, etc.); IT (ITC lead, ordering etc.); team diary management; organising meetings (including taking minutes, booking rooms, etc.); communication of changes in the policies and procedures.
  • Support finance, HR, legal, and other divisional specialists in timely submission of information and data for monthly, quarterly and annual divisional activities (or on adhoc basis) like financial planning, reporting, pay reviews, legal cases.
  • Engage and manage relationships with external stakeholder such as government departments, bank officials, other media companies, auditors, etc.; escalate matters to SME and senior line management for intervention in complex situation.
  • Co-ordinate technical operations support for the local output and respond to issues.
  • Identify opportunities for process improvement and share with the senior line management / SMEs; actively participate in the change process by sharing local information and data as required.
  • To lead with other managers locally on all matters of Health & Safety management to ensure the safety and compliance for our staff, productions and buildings
  • To clearly communicate both internally and externally, all key messaging i.e. business updates, policies

  • KNOWLEDGE AND EXPERIENCE
  • Fluent spoken and written English and Bahasa Indonesia skills; excellent communications skills and ability to manage remote communication effectively.
  • Experience of supporting and delivering to strategic objectives.

Sound book keeping experience:

working with budgets; preparing financial reports; advising managers of cost issues; good working knowledge of SAP and/or relevant accounting software.

  • Thorough knowledge of local tax, commercial, media, labour and safety legislation.
  • Experience of managing and motivating a team; strong personal skills and confidence in communicating with people at all levels and from different backgrounds.
  • Experience of stakeholder and crisis management.
  • Excellent negotiating and influencing skills, with demonstrated experience of negotiating contracts with external suppliers and partners.
  • Demonstrated experience of introducing new, flexible and efficient working practices.
  • Demonstrable ability to handle pressure, meet tight deadlines; to prioritise work and to confidently delegate authority; to manage several projects at the same time.
  • Excellent IT skills, with advanced knowledge of and programmes such as Excel, Word and Outlook, as well as the ability to become proficient in internal BBC technology systems.
  • A lively interest in the broadcast news, online news and wider media environment and appreciation of the particular demands it may place on financial and administrative work.
  • A  knowledge of Indonesian media scene and future trends; sensitivity to and awareness of the role of international broadcasters in Indonesia.
  • Good Analytical Skills.
  • Ability to work unsupervised in a busy and pressurised environment.
  • Good working knowledge of Health and Safety procedures of the BBC.
